In addition to the general information collection practices described above, Valur offers specific tools and services, such as our AI-powered document analysis tools (referred to as "AI Tools"), that involve unique data processing activities. This section details how we handle information in connection with these specialized services.

Information Collected by Our AI Tools. When you use our AI Tools, such as by uploading documents for analysis, we collect the following types of information:

  • Uploaded Documents: We collect the PDF files and other document formats you upload for analysis. Please be aware that these documents may contain personal information (PII) belonging to you or other individuals, such as names, addresses, financial details, or other sensitive data. While our primary focus is on the document's content for analysis and not on extracting and storing individual PII fields, the document itself is processed as a whole.
  • User Interactions: This includes the specific questions you ask about your documents, your interactions with the analysis results, and other data related to your use of the AI Tool's features.
  • Usage Analytics and Technical Information: Similar to our Site, we collect anonymous usage analytics and technical information about your device and browser to monitor performance and improve the tool.

How We Use and Process Information from Our AI Tools. We use the information collected through our AI Tools for the following purposes:

  • To Provide AI-Powered Analysis: The core purpose is to analyze your uploaded documents using artificial intelligence and provide the requested insights and answers to your questions.
  • To Improve and Maintain the Tools: We use aggregated and anonymized data to understand how our AI Tools are used, identify areas for improvement, and ensure their stability and functionality.
  • To Provide Customer Support: If you encounter issues or have inquiries related to the AI Tools, we may use your interaction data to assist you.

AI Technology and Third-Party Processing. Our AI Tools leverage advanced third-party artificial intelligence technology to perform document analysis. Specifically:

  • Google Gemini AI: We utilize Google's Gemini AI technology to process your uploaded documents and answer your questions. When you upload a document, the entire document's content is securely transmitted to and processed by Google's Gemini AI for the purpose of generating analysis results. Our agreements with Google typically ensure that data you submit through our services is not used by Google to train their models for other customers unless you explicitly agree otherwise.   • PostHog: We use PostHog for collecting anonymized usage analytics related to the AI Tools. This helps us understand user behavior and improve the tool's design and features. This data does not contain identifiable personal information from your uploaded documents.

Data Retention for AI Tools. For the purpose of providing analysis and allowing for your interaction with the AI Tool, your uploaded documents are temporarily stored in our secure Google Drive environment. These documents, which may contain PII, are retained for a maximum of 7 days following your last interaction with the specific AI Tool session. After this 7-day period, all uploaded documents are permanently and securely deleted from our systems. We may also retain anonymized usage analytics and interaction data for longer periods for service improvement purposes. This data is stripped of any personal identifiers or document-specific content.

Legal Basis for Processing (for EEA/EU/UK Users)

For users located in the European Economic Area (EEA), the United Kingdom, and Switzerland, our legal basis for processing personal data (including any PII contained within uploaded documents) through our AI Tools is primarily:

  • Performance of a Contract: The processing is necessary to provide you with the AI-powered document analysis service that you request and engage with by using the tool.
  • Legitimate Interests: Where we process anonymized usage data or maintain security, it is in our legitimate interest to improve our services and ensure their security, provided your fundamental rights and freedoms do not override these interests.

Your Rights Related to AI Tool Data. Given the temporary nature of document retention for our AI Tools (7 days), your rights apply during this processing window:

  • Access and Rectification: You may access your uploaded documents within the 7-day retention period. If you have concerns about the accuracy of information within the document, you would need to re-upload a corrected version. We do not edit or rectify the content of your uploaded documents.
  • Deletion: All uploaded documents are automatically deleted after 7 days. If you wish for an uploaded document to be deleted sooner than this 7-day period, please contact us at support@valur.com, and we will endeavor to fulfill your request promptly, provided it does not compromise the integrity or security of our systems.
  • Other Rights: The rights described in "11. GDPR: Information for EEA Users" of our main Privacy Policy (e.g., restriction of processing, data portability, objection) apply to any personal data processed by our AI Tools during the 7-day retention period.
